There are two email account options for Outlook, either IMAP or POP3. We suggest setting this up as an IMAP account.
What is an IMAP account? (suggested)
IMAP is a newer protocol that keeps all messages and folders on the server. In addition, IMAP idle is an optional feature of the IMAP protocol that pushes all new messages to Outlook as they are received by the mail server. Unlike POP, IMAP offers two-way communication between your SmarterMail mailbox and your email client(s). This means when you log in to the SmarterMail Web interface, actions you performed on email clients and mobile devices will automatically appear in the Web interface (and vice versa).
With POP3, your mail is saved in a mailbox on the remote server until you check your mail. When you check your mail, all of the mail is downloaded to your computer and is no longer maintained on the server. If you use POP3 and are traveling or checking your mail from multiple locations, you will not be able to view any of your old mail because the messages only exist on the computer on which you originally received your mail. NOTE: If you have enabled Outlook to keep messages on the server, you will be able to access your messages and folders from any computer via the SmarterMail Web interface or your mobile device.
Reconfigure an existing Outlook 365 account
- In Outlook, click File.
- Click Account Settings and select Account Settings from the drop-down.
- Select your account and click Repair
- Click Advanced options and click Let me repair my account manually.
- Update the server settings under Incoming mail:
- Server: secure.myvcgmail.com
- Port: 993 (IMAP) | 995 (POP3)
- IMAP - Encryption method: SSL/TLS
- POP - check This server requires an encrypted connection (SSL/TLS).
- Update the server settings under Outgoing mail:
- Server: secure.myvcgmail.com
- Port: 465
- Encryption method: SSL/TLS
- Make sure My outgoing (SMTP) server requires authentication is checked (it should default to Use same settings as my incoming mail server).
- Click Next.
You should now see your newly created account below the Account successfully updated message.
Note: If you navigate back to your settings the servers may have reverted back to (ex. mail.yourwebsite.com). This should not effect your SSL connection.
Click on the version of Outlook you'd like to configure:
Outlook 365 POP3 or IMAP account:
- In Outlook, click File.
- Click Account Settings and select Account Settings from the drop-down.
- Select New within the Email tab.
- Once the pop-up loads enter your email address (ex. name@domainname.com).
- Click Connect.
- Enter your email password and click Connect.
- You should see the Account successfully added message.
- Click Done.
- Select the newly created account and click Repair (you will need to update the settings to enable SSL).
- Click Advanced options and click Let me repair my account manually.
- Update the server settings under Incoming mail:
- Server: secure.myvcgmail.com
- Port: 993 (IMAP) | 995 (POP3)
- IMAP - Encryption method: SSL/TLS
- POP - check This server requires an encrypted connection (SSL/TLS).
- Update the server settings under Outgoing mail:
- Server: secure.myvcgmail.com
- Port: 465
- Encryption method: SSL/TLS
- Make sure My outgoing (SMTP) server requires authentication is checked (it should default to Use same settings as my incoming mail server).
- Click Next.
You should now see your newly created account below the Account successfully added message.
Outlook 2016 POP3 or IMAP account:
- In Outlook, click File.
- Click Account Settings and select Account Settings from the drop-down.
- Select New within the Email tab.
- Once the pop-up loads enter your email address (ex. name@domainname.com).
- Click Connect.
- Select your email type (we suggest IMAP).
- Enter the following information:
- Incoming Server: secure.myvcgmail.com
- Outgoing Mail server: secure.myvcgmail.com
- Click Next.
- Enter your email password and click Connect.
You should now see your newly created account below the Account successfully added message.
Outlook 2013 POP3 or IMAP account:
Follow these steps to create an Outlook 2013 POP3 or IMAP account:
- In Outlook, go to File, Click the Info tab.
- Click Account Settings and select Account Settings from the drop-down.
- Select New within the Email tab.
- Click Manually configure server settings or additional server types radio button.
- Click Next.
- Click the Internet Email radio button.
- Click Next.
- Enter the following information:
- Your Name: [Display Name you want to use, ie, Joe Smith]
- Email address: [Full email address, ie, username@yourdomain.com]
- Incoming Server: [secure.myvcgmail.com]
- Outgoing Mail server: [secure.myvcgmail.com]
- User name: [Full email address, ie, username@yourdomain.com]
- Password: [Your email account password]
- Check the Remember Password checkbox
- Click on More Settings.
- Navigate to Outgoing Server Tab.
- Check My Outgoing Server requires SMTP Authentication.
- Click OK.
- Select the Advanced tab.
- Set the Outgoing server (SMTP) Port to 465 (or you can substitute 25).
- Click OK.
- Click Next.
- Click Finish.
